Job Title:             Building Administration/Real Estate Administrative Assistant                      

 

Reports to:         Director of Building Commission/Real Estate                       

                            Diocese of Venice in Florida

Location:             Venice, FL           

                                               

Summary

This is a full-time administrative position that reports to the Director of the Building Commission/Real Estate for the Diocese of Venice in Florida consisting of 83 entities located in a large geographic area from Palmetto FL, south to Naples and the farthest east to Sebring covering all buildings within the 83 entities.

 

Duties and Responsibilities 

  • Prepare all contracts for distribution to Diocesan entities and vendors
  • Coordinate pay applications from vendors
  • Track expenditures which includes but is not limited to waivers, correctness, etc. including purchase orders for the direct purchase of materials
  • Maintain file for all correspondence and contracts according to specific numbering system
  • Track Property Taxes for each entity and update any and all leases along with property information
  • File all property exemptions
  • Administer criteria for security of the Catholic Center alarm system
  • Facilitate interaction with vendors as needed
  • Perform office duties such as answering phones, ordering supplies, etc.
  • Ability to travel throughout the Diocese when needed regarding specific properties

 

Qualifications

  • 5-7 years of work experience in the building/real estate/construction industry
  • Excellent communication skills both written and oral
  • Ability to multi-task and prioritize workload to maximize productivity
